Description of the job
POSITION SUMMARY
The Customer Service Assistant (CSA) will be responsible for ensuring team related administrative tasks are completed. Main tasks include entering and maintaining daily incoming part cross reference numbers to New Flyer part numbers, maintaining public team websites spreadsheet, electronically organizing and filing. Support tasks include entering customer orders and daily quotes, entering and uploading quote/award contract information into Oracle, price verifications and all other administrative tasks to support the Customer Service Team.
Requirements
WHAT YOU WILL DO:
- Identify customer cross reference and enter part information into Oracle.
- Electronically organize, file, and save customer number to New Flyer part number cross reference information.
- Validate all the part numbers provided in a bid or quote are already in Oracle system. If not, link Competitor part numbers with New Flyer number through the DCR process.
- Maintain daily incoming data entry of customer and competitor to New Flyer part number cross reference information.
- Enter customer purchase orders and daily quotes into Oracle.
- Enter contract/quote aware information into quote system.
- Maintain and update public team websites spreadsheet for subscription and login/password renewals by way of CSR’s and customer websites.
- Monitor public websites for bid/award information from New Flyer general inbox.
- Distribute sales orders that have part number, price and/or lead time discrepancies to CSR.
- Verify customer sales orders to quote information, if available on all incoming customer purchase orders.
- Enter daily quote and award information into quote system including no bid/quote information.
- Monitor and maintaining New Flyer Parts generic, internal quote, and order mailboxes.
- Distribute incoming quotes, purchase orders and bids to customer service team.
- Organizing and electronically filing all customer purchase orders and quotes.
- Distribute sales orders that have part number, price and/or lead time discrepancies to CSR’s.
WHAT YOU NEED TO BE SUCCESSFUL:
- Good Communication and teamwork skills.
- Ability to meet deadlines and work in fast paced environment.
- Working knowledge Microsoft Excel and Outlook.
- Strong date entry skills.
- Attention to details, strong organizational and time management skills.
- Working knowledge of Oracle is an asset.
- Motivated self-starter with capabilities to work within a fast-paced team-oriented environment.
